Buyer questions, answered

Straight, dated answers to the questions shops and fleets actually ask before buying software — what it really costs, which features are gated behind higher tiers, how the fleet stack fits together, and how this reference is verified. Every figure is cited to the vendor's own page.

Pricing

What is the cheapest auto repair shop software?
Among widely used systems, NAPA TRACS is reported to start around $109/mo (third-party estimate, tied to the NAPA ecosystem). Among cloud-native vendors publishing rate cards, Tekmetric and AutoLeap both start at $179/mo billed annually, and Autograff ShopOS at $90. See the pricing index.
Why is my software quote higher than the price on the website?
Usually one of three reasons: the workflow you described needs a tier above the advertised entry plan, you need an add-on such as marketing or multi-location, or the vendor charges a one-time setup fee (AutoLeap confirms one but doesn't publish the amount).
Is annual billing worth it?
Annual billing saves roughly 7–11% across the major vendors — for example $240/year on Tekmetric Start, $480 on Grow. The trade-off is a twelve-month commitment; run monthly through the first ninety days, then convert.
Which shop software publishes its payment processing rates?
Among the major shop management vendors, only Shopmonkey publishes card processing rates (and tiers the card-present rate by plan). Tekmetric and AutoLeap do not — request them in writing before signing.
How much does fleet maintenance software cost per vehicle?
Fleetio publishes per-vehicle pricing: $4/vehicle/mo (annual) for Essential, $7 for Professional and $10 for Premium, with a five-vehicle minimum and unlimited users. It is the only fleet maintenance vendor on this site with a published rate card. See the fleet maintenance hub.
How much does fleet telematics cost?
No major telematics vendor publishes pricing. Third-party estimates put Geotab around $10–18/vehicle/mo, Verizon Connect around $23–27, Motive around $25–40 and Samsara around $27–33 plus hardware. Every quote is a negotiation — collect several. See the fleet telematics hub.

Features

Which shop software has unlimited users?
Tekmetric and Autograff ShopOS include unlimited users at every tier. Shopmonkey meters users (three on Basic, then $20 each); AutoLeap limits a login to one device at a time.
Does any shop software include an AI receptionist?
AutoLeap sells AIR, a first-party AI receptionist, at $99/mo — it also works alongside other systems. Autograff ShopOS includes an AI receptionist in the subscription, working from the same schedule and repair orders as the rest of the system. See the AI receptionists comparison.
Which vendors cap digital vehicle inspections on the entry plan?
Shopmonkey caps its Basic plan at two inspection templates; unlimited inspections start at Clever ($359). Tekmetric includes unlimited inspections from Start ($179).

Fleet

What is the difference between fleet maintenance software and telematics?
Telematics is hardware plus software reporting location, driver behaviour and fault codes ($10–40/vehicle plus hardware). Fleet maintenance software schedules preventative maintenance, raises work orders and holds service history ($4–10/vehicle, no hardware). Most fleets above ~20 vehicles run both.
Does fleet maintenance software include GPS tracking?
No. Fleetio and its peers are software only — no GPS, telematics hardware or ELD. They integrate with telematics platforms, but the tracking subscription and hardware are a separate purchase.
Can fleet software manage repairs at outside shops?
Only partially. Maintenance software holds the work order and invoice record, but can't see real-time status inside a third-party shop. That requires a repair network (ServiceUp, Carma) or a fleet operating system such as Autograff FleetOS. See fleet repair networks.
Why won't telematics vendors publish prices?
The category sells through direct enterprise sales and, for Geotab, a reseller network of 2,000+ partners — so there's no public anchor price, and two fleets can be quoted very different numbers for the same product.
